Team seats
Seats control how many people can belong to your organization. This page shows you how to check seat usage and how to add or reduce seats when your team grows or shrinks.
Where to find seats
Open your organization settings at /settings/organization. The Team members card shows your seat counts and, if you're the owner, the controls to manage them.
You'll see three figures:
- Used — seats currently taken by active members and pending invites.
- Available — seats you can still fill before you need to buy more.
- Active members — people who have accepted and joined.
A Usage bar under the card shows used seats out of total seats at a glance.
How seats are counted
Both active members and pending invitations count against your seats. If you invite someone but they haven't joined yet, that seat is still occupied. Revoke an unaccepted invite to free its seat.
Seats come from your subscription. If you haven't set up billing, you'll see "No billing configured" and a Subscribe button. You can't invite members until billing is in place. See Billing & subscription to get started.
Add or reduce seats
Only the organization owner can change seats, and only on plans that bill per seat.
- Go to /settings/organization.
- In the Team members card, click Manage seats.
- In the Manage seats dialog, set the Number of seats using the minus and plus buttons or by typing a value.
- Review the summary: Occupied seats, Available after change, and New recurring total.
- Click Update seats.
What happens to billing
- Adding seats: the extra seats are invoiced immediately as a prorated charge.
- Reducing seats: the change applies right away for access, and the lower recurring total takes effect at your next renewal.
If an added seat needs payment that didn't go through automatically, the dialog shows a Pay invoice link. Open it to complete the charge.
Reducing seats: the floor
You can't reduce below the number of occupied seats. If you try, you'll see a message like "Cannot reduce below 5 occupied seats." To go lower, first remove members or revoke pending invites, then reduce the seat count.
The seat range is 1 to 100.
Plans with a fixed member limit
Some plans include a set number of members instead of per-seat billing. On these plans, the card reads "X members included" and there's no Manage seats button. To change your member capacity, switch plans from /settings/subscription. You can jump straight there with the Change plan link in the seat dialog.
When you run out of seats
If every seat is used, the invite form is disabled and you'll see "All purchased seats are currently used. Add seats to send more invites." Add seats (or free one up by removing a member) to keep inviting.
Over the limit
If your plan's seat count drops below the members you already have — for example after a plan change — affected members are flagged with an Over limit badge, and the card shows a warning in red. To resolve it, either remove the flagged members or add seats to cover them.
